Certificate templates

Certificate templates in Worknice help you collect, manage, and track important compliance documentation for your business. Every organisation has unique requirements, so Worknice lets you build exactly the certificates you need without clutter.


Getting started

  1. Go to Settings > Templates > Add Template.

  2. Select Certificate as the template type.

Only admins can create and manage certificate templates.


Creating your certificate template

  1. Name – Enter a clear, obvious name using common industry terms (e.g., “Driver Licence” instead of “Driver’s ID”).

  2. Instructions – Add helpful guidance to make sure certificates are collected and verified correctly.

    • For Obtaining – Shown to the person submitting the certificate. Include what’s required, where to obtain it, and links to external websites if needed.

    • For Verifying – Shown to admins or managers verifying the certificate. Provide steps to confirm authenticity and include links to relevant resources.

    • Instructions are optional and support Markdown formatting (paragraphs, lists, links, etc.).

  3. Data Fields – Choose which fields are Required, Optional, or Hidden:

    • Attachment – Upload proof of the certificate (PDF, JPEG, PNG).

    • Document Number – e.g., licence number, passport number, WWCC number.

    • Issue Date – The date the certificate was issued. Hide this if not relevant.

    • Expiry Date – The date the certificate expires. Mark as Required for compliance-critical documents so Worknice can automatically re-request updated certificates before expiry.

  4. Click Add to save your certificate template.


Next steps

Your new certificate template is now ready to use. You can request it from both new hires and existing employees or contractors.
