Create a task template
Create reusable task templates to use in Worknice workflows.
Introduction
Task templates let you create reusable tasks that can be assigned as part of a workflow, 3rd party workflow builders like Zapier, or manually. They are useful for repeatable actions such as setting up equipment, creating system access, booking meetings, or completing internal onboarding steps.
Task templates are best used with Workflows, where they can be automatically assigned to the right person at the right time.
Before You Get Started
You must be an Account Owner or have the appropriate admin permissions to create task templates.
Before creating a task template, think about the action that needs to be completed and who will typically be responsible for it.
Getting Started
Go to Tasks from the left-hand menu.
Click the Templates tab.
Click Add template.
Create a Task Template
When creating a task template, complete the following fields:
Name
Enter a clear name for the task.
For example:
Equipment – assign laptop
Access – set up office access card
Systems – set up Slack account
Collect office key from front desk
The name should make it obvious what action needs to be completed.
Description
Add instructions for the person completing the task.
Use the description to include:
What needs to be done
Any important details or context
Links to relevant systems or resources
Step-by-step instructions
You can use Markdown to add paragraphs, lists, links to external web locations, and other formatting.
Save the Template
Once the name and description are complete, click Add.
Your task template will now appear in the Templates list and can be selected when building workflow steps.
Using Task Templates in Workflows
Task templates are most powerful when used inside Workflows.
For example, an onboarding workflow might include task templates such as:
Procure laptop
Set up email account
Schedule induction meeting
Add employee to payroll
Prepare first-day welcome pack
When the workflow runs, Worknice creates the task from the template and assigns it to the configured person.
