Onboarding new hires
Congratulations on growing your team! Worknice makes it simple to onboard new hires, contractors, and volunteers by collecting the right information, assigning paperwork, and ensuring they’re set up for success on day one.
Step 1: Add a new person
Go to People in the main menu.
Click Add Person.
Fill in the required details:
Name – doesn’t need to be full; the new hire will confirm during onboarding.
Role – choose Employee, Manager, Account Owner or Contractor.
Position – select an existing position or create a new one.
Start date – add an optional end date if relevant.
Pay details – choose Salary or Hourly Rate.
(Optional) Assign paperwork templates or bundles.
(Optional) Add the person to payroll integrations (applies on the next sync).
Save the record.
You can invite the new hire right away or hold off until onboarding requirements are finalised.
Step 2: Configure onboarding (Optional)
After creating the person, you can tailor their onboarding experience:
Reorder templates – adjust the sequence of forms, documents, and tasks.
Include templates – move items into onboarding so they appear straight away.
Exclude templates – hold items back to send later via the inbox.
To revisit onboarding setup, go to the person’s profile and check the Onboarding card.
Step 3: Assign additional paperwork (Optional)
If new hires need to review or sign extra documents (e.g., employment contracts):
Open the person’s profile.
Go to the Paperwork tab.
Click Create Assignment.
Select the paperwork template or bundle, complete any dynamic fields, and click Assign.
Step 4: Send the Invitation
When you’re ready:
Click the Invite banner at the top of the person’s profile.
Enter their email address and send the invite.
If you’re not ready, no problem! The person will stay in Draft status until you return to complete the process.
What happens next
The new hire will receive an email with your company logo and brand colours. They simply click Create your account and follow the guided steps to complete their onboarding.
