Summarise a person's profile
Generate a written summary of someone from their profile, so you can see where they are up to without opening every tab.
Before you get started
Only account owners can generate or read a profile summary. It is not visible to the person themselves, or to their manager.
The person needs enough on file. Someone with no job or position, no date of birth, no paperwork, no leave and no reviews cannot be summarised.
Generate a summary
Go to Organisation, then People, and open the person.
Stay on the Overview tab.
In the Public profile card header, select the sparkle icon ✨. Its tooltip reads Generate summary.
Wait a few seconds. The page updates itself when the summary is ready.
The sparkle icon only appears while that person has no summary. Once they have one, a banner at the top of the page carries it instead, so there is nothing to click a second time.
Read the summary
The banner holds a short version, which is usually enough on the way into a conversation. Select it to open the full summary.
The full version covers up to four areas:
Performance
Compliance and paperwork
Leave and availability
Suggested actions
A section with nothing to say is left out rather than shown empty, so a short summary means a quiet record rather than a problem.
Leave and availability appears only if your account uses leave management, and Performance only if it uses performance management. Where a part of Worknice is switched off for your account, that person's data in it is not read and no section is built from it.
The full summary is stamped with the date and time it was generated, so you can see how current it is.
Refresh a summary
A summary describes the moment it was generated. When something has changed and you want it redone, use the refresh control on the banner.
After a summary is generated successfully, the refresh control is hidden for 24 hours. This is deliberate: it is one refresh per person per day. It reappears on its own.
If a summary fails, you can try again sooner, and the wait grows if it keeps failing: about a minute, then ten minutes, then an hour, then the same 24-hour window.
Common questions
What does the summary read?
The same records you can already see on that person's profile, in the areas the sections cover. Nothing new is collected, and nothing is read from outside Worknice.
Does it run on its own?
No. A summary is only ever generated when an account owner selects the button. Nothing is summarised in the background, and no summary exists for anyone until somebody asks for one.
Who else can see it?
Account owners. Generating and reading a profile summary are both restricted to account owners. The person it describes cannot see it, and neither can their manager.
What happens when someone leaves?
Their summary goes with them. Once a person is terminated or archived, their summary is no longer available and a new one cannot be generated.
Why did it say there was not enough to summarise?
Because there genuinely was not. Rather than filling the gaps, Worknice tells you it cannot summarise someone whose record is close to empty. Add their job, paperwork or leave and try again.
