View participant progress

Track how each person is progressing through a workflow.


Introduction

Once people have been added to a workflow, Worknice creates a workflow run for each participant. You can monitor each participant’s progress to see which groups have triggered, which steps are in progress, and what still needs to be completed.


Before You Get Started

You must be an Account Owner or have the appropriate admin permissions to view workflow progress.

A participant must be added to the workflow before progress can be tracked.


Getting Started

  1. Go to Workflows from the left-hand menu.

  2. Open the workflow you want to review.

  3. Click the Participants tab.

From here, you’ll see a list of all people added to the workflow, including:

  • Person name

  • Date added

  • Completion progress


Open a Participant’s Workflow Run

To review an individual participant:

  1. From the Participants tab, click the person’s name.

  2. Worknice will open their workflow run.

This gives you a detailed view of that person’s progress through the workflow.


Understanding the Participant View

The participant view shows:

Overall Progress

The progress card shows how many workflow steps have been completed.

For example:

0 / 3 completed means the participant has three workflow steps and none have been completed yet.


Participation Details

This section shows key information about the workflow run, including:

  • Added on — when the participant was added to the workflow

  • Added by — who added the participant

  • Last updated — when the workflow run was last updated


Workflow Groups

Each workflow group is shown separately.

A group may show:

  • The group name

  • Whether it has been triggered

  • When it was triggered

  • Who or what triggered it

For example, a group may be triggered manually by an admin or automatically by Worknice.


Workflow Steps

Inside each group, you’ll see the steps assigned to that participant.

Each step shows:

  • Step name

  • Step type, such as Paperwork or Task

  • Current status, such as In progress or Completed

This helps you quickly identify which actions are still outstanding.


When to Use This View

Use participant progress monitoring to:

  • Check whether onboarding steps have started

  • See which paperwork is still outstanding

  • Confirm tasks have been assigned

  • Identify stalled workflow runs

  • Follow up with the right person at the right time


You're All Done!

You can now monitor each participant’s progress through a workflow and track exactly what has been triggered, completed, or is still in progress.
