Creating a dynamic document template

Should this be a dynamic document?

Not all documents should be dynamic.

If you don't require any dynamic or input fields (e.g. Uploading a Fair Work Information Statement) then you should instead follow the guidelines for creating a static document. If you are intending to make a policy or job description dynamic:

Best practice is to make these static. Date, name or signature fields are not required with Worknice, as Worknice tracks when and to whom a document is sent. Worknice also takes acknowledgements digitally over the top of the document, so this does not need to be dynamic.

Do you have a subscription to a PDF application?

In order to make your Document PDF Templates dynamic they will need to be in the 'fillable form' PDF format. Worknice supports fillable forms from all major e-Signature and form software providers including Adobe Acrobat, DocuSign, HelloSign and Wondershare.

If you do not have a subscription to any eSignature software we recommend Sejda's free online PDF editor to get you started.

1) Preparing your document template

Most documents begin life in an editable form, either in Microsoft Word, Google Docs, Apple Pages or similar. This is where you should prepare your document template.

Before you convert your document to a PDF we highly recommend you review the formatting. Please read our guide on formatting dynamic document templates.

Save as a PDF when done.

2) Creating your fillable form PDF template in a PDF application

Open your prepared PDF in your chosen PDF editor. Please ensure you are in form edit mode (Click Prepare Form in Acrobat). Worknice only requires simple text fields with no settings so please do not add any special field types (signatures etc.) or settings, they will be ignored and may cause errors.

Things to note:

  • Set font and font size now on the text fields.
  • Copy and paste dynamic fields to speed up your workflow.
  • Make sure you get your vertical alignment right.
  • Make sure you have enough horizontal room for each dynamic field. If it’s not wide enough, text will get cut off.

IMPORTANT: ensure you save this file and store it carefully where it can be accessed in future. If you need to make small edits to this template in future, using this as a base will save you redoing the dynamic fields

3) Upload your template to Worknice

Document Templates can be found under Settings > Templates > Add Template > Document

4) Map your dynamic fields in Worknice

If you have uploaded a document template with dynamic fields, please open the document templateFor each field added in the PDF, you will have numerous field types and configurations to choose from.
