Tips on how to use bundles to automate compliance

Create, issue, track and securely store all of your vital work compliance requirements in one spot. With a broad range of smart features and automated alerts, managing certificates, licences, tickets, visas and training completion will be a breeze. Let’s get you going!

Bundles automate compliance by assisting with the following;

  • Managing paperwork requirements as people move in and out of different jobs / roles.
  • Managing paperwork requirements for industry compliance, such as NDIS, construction tickets, etc
  • Managing employment or policy compliance
  • Monitoring missing or expired paperwork
  • Streamlined process for filling in compliance gaps

Getting started

To create or access a bundle, navigate to the Settings section of the left hand menu and then click on Bundles.

You need to be an admin in order to access and create bundles.

There is no hard and fast rule about how to structure your bundles, so in this section we will provide some direction that will help you determine what works best for your business.

Like all features in Worknice, bundles are highly configurable and editable. Don't get too hung up on how to structure them up front, as everything can be optimised as you learn. To edit a bundle, go to SettingsBundles and then enter the bundle you wish to edit by clicking View. Click Edit.

NDIS Compliance

Understand if all your support, direct and clinical staff are complaint to work

Set this up by;

Templates: Creating bundles for your different staff groups, such as “Direct”, “non-Direct”, “Clinical” etc. Add in the paperwork requirements for each staff group. Sample below:

People: Add in all relevant people to each bundle. A single person can be a part of one or more of these staff groups

Company policy compliance

Understand who has and who has not acknowledged important company policies

Set this up by;

Templates: Adding all your important company policies into the bundle

People: Add all you people into the bundle

Construction ticket and site compliance

Understand if all your workers are able to work in particular trade roles or sites

How to get it set up:

Templates: Create paperwork requirement for each trades or site type. For example, a forklift driver might need; Induction card, electrician licence, working at heights licence, high risk work licence.

People: Add in the relevant people who work in these positions or sites to get an overview of their compliance; what is missing, expired, or valid.

Itemise the different roles and sites. A single person could be in an ‘Electrician’ bundle and also a ‘Site X’ bundle at the same time.

If a worker is moving from Site X to site Y, you can add them to site Y and remove them from site X. This would then update their compliance status automatically.

Monitoring compliance

To understand at a glance how your bundle compliance is tracking, simply visit the bundles page and hove your mouse over a ‘Bundle Summary’ bar.

Don’t have a summary? You need to add people to the bundle first

If you want to drill in and review which people have compliance gaps;

  • click into the bundle by clicking on its name.
  • Click on the people tab

To drill down even further and review compliance gaps on an individual;

  • click on their name
  • review their compliance gaps.
