Bank account form

The bank account form collects the bank details Worknice needs to pay someone, split across as many accounts as they need.


Before you get started

Only account owners can create or configure paperwork templates.


What it collects

For each account: the BSB, the account number, and an allocation, as a percentage of pay. Allocations across all of a person's accounts always add up to 100%.


What can be configured

Open the template under Settings, then Templates, then Form templates, then Bank account form, and select Edit.

  • Default responsible person — who the form is assigned to for processing, if an employee self-assigns it.

  • Name — the label shown for this template. Defaults to Bank Account/s.

  • Maximum bank accounts — from 1 to 5. Every template starts at 5, so nothing changes until you lower it.

  • Instructions — optional text shown to the person filling in the form. Supports Markdown.


What changing the account limit does and does not do

  • The limit only applies going forward. It is captured onto a form the moment that form is assigned to someone, so lowering a template's limit does not change forms that have already been sent out.

  • The employee sees the limit as they fill in the form. Once they reach the maximum, the option to add another account disappears.

  • A form submitted before the limit was lowered still opens correctly. If someone had split their pay across more accounts than a new, lower limit allows, the first account is set to 100% so the form can be resubmitted without a leftover split.


Common questions

Why does an employee's form show fewer account options than before?
An account owner has lowered the Maximum bank accounts setting on the template. It only affects new assignments, so anyone already partway through the form when the setting changed keeps what they had.

Can different paperwork types use different limits?
Yes. The limit is set per template, so one paperwork type can collect up to 5 accounts while another is set to 1.
