Create a request template
Set up a request once, so every request of that kind asks for the same details, goes to the same approvers and ends the same way.
Before you get started
Account owners can create and edit request templates.
If the template will add someone to a workflow once approved, create the workflow first. See Create a workflow.
Create the template
Go to Settings, then Request templates.
Select Add request template.
Enter a Name and a Description. People see both when they choose which request to make, so name it the way they'd describe it, such as "Approval to hire a new role".
Save.
The template page opens with four cards: Scope, Request form, Approval flow and Action. Each has its own edit control.
A template shows as incomplete until every card is set up, and nobody can use it until it's complete.
Set who can use it
Select edit on the Scope card.
Under Who can make the request?, choose the lowest role that can make it. Choosing employees means everyone can; choosing managers means managers and account owners; choosing account owners means account owners only.
Under Who can the request be about?, choose one:
Anyone, for requests about any person in your organisation.
Themself, for requests people make about themselves.
Their reports, for requests about the requester's direct reports. Only people with at least one direct report will see the template.
No one, for requests that aren't about a person, such as approval to hire a new role.
Save.
Account owners can always make a request about anyone, whatever the scope says.
Add the form and the approval steps
The Request form card holds the questions the requester answers. See Add questions to a request form.
The Approval flow card holds the approval steps, in order. See Set up approval steps for a request.
Choose what happens once it's approved
Select edit on the Action card and choose one:
Mark as completed. Use this when approval is the whole job.
Assign to. Hand the approved request to someone to complete, either a named person or the Manager. Use this when someone has work to do after approval, such as recruitment advertising an approved role.
Add to workflow. Add the person the request is for to a workflow. Choose the workflow and a responsible person from your account owners. Any tasks and paperwork in the workflow that have nobody else to go to fall back to the responsible person.
Add to workflow needs a person to add, so it isn't available when the scope is No one.
Worknice carries out the action itself once the last step is approved, so the last approver doesn't need permission to do it.
What people see
Once the template is complete, it appears as a choice when someone selects New request, for everyone the scope allows. See Make a request.
