Custom Field Types
Create structured data fields to capture additional information across Worknice.
Introduction
Custom fields allow you to collect additional structured information against records in Worknice. This ensures your organisation can capture the exact data you need — without relying on free-text notes or workarounds.
Custom fields are available in the following types:
Text
Date
Choice
Number (including % or $ formats)
Each field type includes configuration options to control formatting, validation, and behaviour.
Before You Get Started
You must be an Account Owner to create or manage custom fields.
Plan your data structure before creating fields to ensure consistency and reporting accuracy.
Available Custom Field Types
Text Field
Use a Text field to capture short or long free-text responses.
Best suited for:
Internal codes
Reference numbers
Titles
Notes or short descriptions
Configuration options include:
Field label (display name)
Help/description text
Default value
Character limit validation (minimum and maximum
Prefix and suffix
Date Field
Use a Date field to capture a specific calendar date.
Best suited for:
Review dates
Contract dates
Compliance deadlines
Renewal reminders
Configuration options include:
Field label (display name)
Validation rules (minimum and maximum dates)
Help/description text
Single Choice Field
Use a Choice field when a user must select one predefined option.
Best suited for:
Status categories
Classifications
Levels or tiers
Configuration options include:

Using a Choice field improves reporting accuracy by preventing inconsistent data entry.
Number Field
Use a Number field to capture numeric values.
Best suited for:
Targets
Scores
Rates
Financial values
You can configure the number field as:
Standard Number
Percentage (%)
Currency ($)
Configuration options include:
Field label (display name)
Minimum and maximum values
Decimal precision
Format selection (% or $ or Flexible)
The Flexible option allows the user to decide between $ or % unit.
