People lifecycle stages

In Worknice, each person record moves through a lifecycle status depending on their stage of employment and platform access. These statuses control visibility, notifications, and how you manage people across the system.

Draft

A person has been added to Worknice but not yet invited.

• Account owners can assign forms, documents, reviews, certificates, and surveys.

• Notifications: Draft people do not receive any notifications.

Invited

A person has been invited to the platform but has not yet accepted.

• Notifications: They only receive the invitation notification and any follow up invitation notifications.

Onboarding

A person has created a login and is currently completing their onboarding workflow.

• Notifications: They will receive notifications for any additional paperwork, tasks or reviews assigned to them.

Active

A person who has completed onboarding and is an active employee.

• Active people do not display a badge on their profile. This reduces clutter and keeps other status badges more visible.

• Notifications: They will receive any notifications available.

Terminated

A person whose employment has ended.

• Notifications: Terminated people do not receive notifications.

Archived

A person who has been removed from your People Directory.

• Archiving preserves all data so you can access it later—no information is lost.

• Archived people can be reinstated if needed.

• Notifications: Archived people do not receive notifications.

Filtering by Status

In the People Directory, you can filter by any of these lifecycle statuses to quickly find and manage people records.

Lifecycle stage change timestamps

You can review the exact date and time people moved through various lifecycle stages.

Access this audit log on a person profile;

• Go into the person profile

• Access the Settings tab

• Review the Status changes card
