Changing Worknice permissions / roles

A quick overview on how to change a person's role in Worknice

Making sure the right people have access to the right information is an important privacy concern for Worknice Account Owners.

Worknice is conservative in itโ€™s approach to settings permissions, as we wish to help our customer reduce the chance for mistakes to be made.

Getting started

Worknice has a number of different roles available;

Account owner - This role allows users to see and do everything in Worknice including pay rates.

Manager - This role allows users to approve approve leave (Xero leave management excluded) that has been allocated to them, or manage an employee review that has been assigned to them. Outside of this, they can not see any additional information compared to an employee or contractor

Employee or Contractor - Personal access to Worknice only. They can access and update their own user information, and see organisation wide pages such as people directory and leave calendar.

Changing a persons access

Step 1: Go to the person's profile

The first step is to navigate to the person's profile that you want to change the role of. You can do this by clicking on the "People" option on the left side menu and searching for the person's name.

Step 2: Go to settings

Once you're on the person's profile, click on the "Settings" tab. This will take you to a page where you can edit their profile information.

Step 3: Edit the person's role

You'll see a table with information about the person, including their role. To change their role simply click the "Edit" button and select the new role from the drop-down menu.

Just remember that Account Owner users have full permissions to all people data and features in Worknice, so make sure you're only giving this role to people who need it.

You can have as many people in your org set as an Account Owner.

Changing a person from an Account Owner to an Employee or Manager

In order to reduce a persons access from Account Owner down, they must not have any paperwork that they are responsible for.

To change the responsibility of paperwork, you'll need to start by going to the Paperwork page on the left hand menu. Find the paperworks that have the target user set as responsible, and check the box against each paperwork item if more than one. Use the floating menu to bulk update the responsible person.
