Customise your PDF documents and turn them into reusable templates with our Document Template feature. Now you can capture the information you need on your documents by annotating with input fields that populate with employee data, electronic signatures, and more.
Before you get started
If you don't require any dynamic or input fields (e.g. Uploading a Fair Work Information Statement) then you do not need any additional software and can skip straight to section 3.
1) Preparing your document
Before you convert your document to a PDF we highly recommend you review the formatting. Please read our guide on formatting dynamic document templates.
2) Placing your dynamic fields
Before you can upload document template you will need to place your dynamic (e.g. employee name, position) and input fields (e.g. signature, date signed) to the PDF document. Next step is to convert your document to a PDF and open in your chosen PDF editor. Please ensure you are in form edit mode (Click Prepare Form in Acrobat). Worknice only requires simple text fields with no settings so please do not add any special field types (signatures etc.) or settings, they will be ignored and may cause errors.
3) Uploading your template
Document Templates can be found under Settings > Templates > Add Template.
4) Assigning your dynamic Fields
If you have uploaded a document template with dynamic fields, please open the Document Template and click Edit. For each field you will have the following options to choose from;
Input Types
- Form: The field will be input by the person it is assigned to
- Template: The field will be input by the admin before it is assigned
Input Formats
- Text: Useful for most fields such as plain text, numbers, currency
- Date: Assignee will be presented a date picker
- Signature: Assignee will be presented a digital signature
Click Save when you are done.
