Documents FAQs

Here are some of the most common questions we hear about Documents

What do the document status badges mean?

Draft: The document has been successfully associated with a user, but there are still actions that need to completed in order for it to be deployed to the person. A draft document is only visible to an Admin. The person can not see the document at all.

🚧
Not sure why a document is still in draft? Click on view against the document, and click the Edit/Assign button at the bottom right of page to see why.

Assigned: The document has been successfully assigned to a person, and is awaiting an action from the person. Actions include signing, acknowledgement or completion.

Submitted: The document has been actioned by the person, and is now considered complete.

Processed - the processed status allows the admin to confirm that the data entered is acceptable, and not 'dummy' data. This is particularly important if the data being collected is important for compliance, such as a contract - you don't want an unacceptable signature in the signature field.

Archived: The document has been removed from the person profile. It is no longer visible to them, however an admin can find and restore this document in the future.

🚧
You can filter by the status' listed above in the document directory.

Why can’t I upload a PDF?

Encryption - If you can’t upload your pdf due to encryption, it will need to be removed first. You can open the encrypted file in a PDF product like Adobe Acrobat and remove it there. There are also online tools such as this one - https://smallpdf.com/unlock-pdf

File size - If your file size is larger than 4.5mb it will not upload. PDFs are small file sizes typically, but can be alot larger if they originate as a scanned document or similar. You can compress a PDF file size in a PDF product like Adobe Acrobat
