Creating a certificate template

A guide on how to build and tailor your certificate templates ready to issue to existing employees and new hires

Worknice helps you collect, manage and analyse important compliance documentation for your business. But every business is different, that's why Worknice lets you create all the certificates you need without any additional clutter.

Getting started

To create a new certificate template, navigate to the Settings section and then click on Templates > Add Template. To create your certificate template, select the Certificate type.

You need to be an admin in order to access and create certificate templates.

Create you new certificate template

Click the Add Certificate Template button to get started on your journey. Once clicked, you will notice there are some options for you to create a certificate template that not only collects the correct information, but helps stakeholders understand what to do.

  1. Enter the Name. This is the name of your certificate template. Make it clear and obvious, using typical language used in industry (eg. Driver licence, not Drivers ID)
  1. Enter Instructions
    1. Enter Instructions for Obtaining: These instructions will be shown to person who is submitting the certificate. These instructions will be important to help your new or existing people understand what they are being asked to provide. You can also include instructions for obtaining the certificate, and even linking to external websites to streamline the process.
    1. Enter Instructions for Verifying: These instructions will be shown to person who needs to verify the authenticity of the certificate. These instructions will be important to help your admins or managers tasked with verifying that the provided information is correct and valid. You can also include instructions for how to verify the certificate, linking to external websites to streamline the process.

      The instructions use Markdown language to help you add more detail, such as paragraphs, lists, links and other formatting.

  1. Select the data required to verify the certificate. You can choose the required information by marking the type as requiredoptional, or hidden.
    1. Attachment: An attachment is an image (jpeg, pdf, png) that can be uploaded to show information or proof of a certificate. If you do not need this data, select Hidden.
    1. Document Number: Document number is the number of the certificate. Examples of this are a passport number, licence number, Working With Children Check number, etc. If the certificate you are requesting does not have a number, select Hidden.
    1. Issue Date: Issue date is the date in which this certificate was issued to the person. If issue date does not assist in verifying the document, then it is best practice to mark this as Hidden - no need to force unnecessary data entry. This field is typically used when there is no expiry date.
    1. Expiration Date: The date this certificate will expire. If a certificate has an expiration date, we recommend marking this as Required. By doing so, Worknice can help you manage the collection of new certificates as current ones near expiry. Eg if a Working With Children Check expires, Worknice can re-request a new one from the person automatically, helping your business maintain compliance.

Complete your new Certificate Template by clicking the Add button.

You are now ready to request this new Certificate Template to new or existing employees or contractors.
