Some suggestions on migrating your current employee files

Getting Started

Before launching Worknice we recommend you upload your current employee documents such as;

  • Signed Employment Contracts
  • Signed NDAs
  • Signed consent forms
  • Signed Policies
  • Copy of drivers licences, VISA and other work permits

These may be currently stored in a shared drive but commonly NOT accessible to the employees and may be in various file formats, so we recommend organising these files before hand ensuring they are in a PDF format and do not exceed 4MB.

Please note if you upload a file to an employee record in Worknice the employee will have access to it.

Uploading a document

Adding a document is pretty straight forward, this article explains the steps. Assuming you are adding the document whilst the employee is still draft you may wish consider submitting the document on the employee’s behalf, otherwise if you assign the employee will be asked to review and accept the document when they are onboarding.

Uploading certificates

Please read this article on uploading certificates. Whilst you could upload currently copies of documents such as Drivers Licence or Forklift licence we recommend adding these as certificates instead. This way you will receive notifications when the certificates are due for renewal and have a better understanding of your current employee compliance.
