Paperwork covers various types of paperwork including certificates, forms and documents. this articles is designed to run you through the process of assigning paperwork to your people.
Assign paperwork to existing people
You already have people that exist in your people directory. How do you assign them paperwork?
There are a number of ways to assign a person a form. You can use the method that suits you but it is handy to be aware of them all.
Assign using the paperwork page
1 - Go to the Paperwork page on the left side menu.
2 - Select Add Assignment
3 - Choose the Create assignments from templates and/or bundles option
4 - Select the person who will complete the assignment, known as the Owner
5 - Select the Template you would like to assign. Note - in this list are all your templates, including documents, certificates and forms.
6 - Check Assign immediately if you are ready to send it to the person. Leaving it unchecked will create the form as a draft that can be assigned later.
7 - Click Add assignment
Assign using the person profile
1 - Find and view the person you wish to assign the form in the People page on the left side menu.
2 - Navigate to the Paperwork tab on the person profile.
3 - Select Add Assignment
4 - Choose the Create assignments from templates and/or bundles option
5 - Select the Template you would like to assign. Note - in this list are all your templates, including documents, certificates and forms.
6 - Check Assign immediately if you are ready to send it to the person. Leaving it unchecked will create the form as a draft that can be assigned later.
7 - Click Add assignment
Assign paperwork to new hires
You can assign a form in the onboarding new hires workflow.
Alternatively, you can follow the process outlined above if you have first added the new hire into Worknice.
What happens once paperwork is assigned?
Once you have assigned one or more paperwork items to a person, as few things happen automatically;
Status is updated to 'assigned'
Worknice tracks the lifecycle of forms using status'. As different actions occurs, Worknice automatically updates the status of a form so it can always be traced and managed.
Person is notified
Worknice automatically posts a task in the users inbox using smart task technology. This task is only removed from the person's inbox once they have completed the form.
Paperwork is logged against the person profile
You can always review which forms have been assigned to a particular person in Worknice. In some cases, a person may have edited form multiple times. You can review all this information in the person's profile.
To access this, click the People menu item on the main menu. From here, search for the person you want to review, and click view, followed by the Paperwork tab.
