Paperwork lifecycle stages
Every item of paperwork in Worknice moves through a lifecycle. This makes it easy to see exactly where each document, form, or certificate is up to, and what actions are still required.
This article explains what each paperwork status badge means.
Draft
The paperwork has been associated with a user, but it hasn’t been assigned yet. While in Draft, you can still complete actions such as requesting approvals before deploying the paperwork.
Only visible to Account Owners
The person cannot see the paperwork at all
Approvals can be added at this stage
Assigned
The paperwork has been assigned to a person and is awaiting their action. Depending on the paperwork, this might include:
Signing
Acknowledging
Completing a form
Submitted
The paperwork has been completed by the person.
Processed
The Processed stage allows admins to confirm that submitted data is valid and acceptable. This is especially important for compliance documents such as contracts, licences, or certificates, where:
Signatures need to be authentic
Information cannot be placeholder or “dummy” data
Marking paperwork as Processed ensures your records have moved through a validation checkpoint and are accurate and compliant.
