View by type

Quickly check who has submitted a specific type of paperwork — and who is still outstanding or expired.


Getting Started

If you need to see the status of a particular paperwork type (e.g. First Aid Certificate, Working With Children Check, Employment Contract), Worknice provides a central place to review all submissions and outstanding items based on a specific paperwork type.

This makes it easy to monitor compliance, follow up on overdue submissions, and understand organisation-wide status at a glance.

Only Admin users can access paperwork types and view organisation-wide paperwork activity.


How to Review Paperwork by Type

1. Go to Paperwork Types

Navigate to Settings > Paperwork Types on the left-hand menu.

You’ll see a list of all paperwork types your organisation has set up (e.g. Driver Licence, Passport, Signed Contract).

2. Select the Paperwork Type

Click the paperwork type you want to review.

3. Open the “Paperwork” Tab

Inside the paperwork type, click the Paperwork tab.

This tab gives you a complete overview of:

  • Submitted paperwork

  • Outstanding paperwork

  • Expired or expiring paperwork

  • Responsible person

  • Status of each person’s paperwork

  • Important dates, such as assigned, submitted, and expiration.

This is the view that replaces what previously appeared at the bottom of the template page.


What You’ll See in the Summary

The paperwork summary allows you to:

✔ View all people in the organisation

See who has paperwork issued, and in what lifecycle stage (draft, assigned, submitted, processed).

✔ Identify who has NOT yet submitted

Anyone still outstanding will clearly appear with the status Assigned, Expired, or Missing depending on your configuration.

✔ Drill into individual paperwork

Click any item to open that person’s paperwork, review details, verify, process, or follow up.

✔ Monitor expiry

For certificate-style paperwork, you can immediately see expiring or expired items.


When to Use This View

Use the paperwork type summary whenever you need to:

  • Check compliance for a specific type of paperwork

  • Assign paperwork to employees who need to supply it

  • Review progress on a rollout (e.g., a new policy acknowledgement)

  • Audit a single document type across the organisation

  • See who has supplied valid paperwork and who has not

You can now quickly review submissions and outstanding paperwork for any paperwork type.
