Processing / verification

Verification ensures that important paperwork such as forms, documents, and certificates has been properly reviewed and marked as processed. This step helps your organisation maintain compliance and ensures submitted information is accurate and acceptable.

A verified paperwork is one that has been marked as processed


Why verification matters

Verification gives you confidence that submitted paperwork meets your standards.

Example: If you request a driver’s licence or signed contract, you can confirm the details are valid before treating the submission as complete.

For time-sensitive items like licences or certificates, Worknice also tracks expiry dates and reminds employees to submit updated versions, helping you maintain 100% compliance.


Getting started

🚧 Only Account owners can process paperwork.

Paperwork that requires verification will appear with the status Submitted. You can access it in two ways:

From a person's profile

  1. Go to the People directory.

  2. Search for and select the person.

  3. Open the Paperwork tab.

  4. Find the submitted item and click Edit.

From the Paperwork overview page

  1. Go to the Paperwork section in the main menu.

  2. Search and enter for the submitted section.

  3. Process each paperwork item individually or in bulk


Processing paperwork

  1. Click Edit on the submitted paperwork.

  2. Review the details and any uploaded attachments.

    Follow any verification instructions included in the template. If instructions are missing, you may need to add them to the template.

  3. Click Mark as Processed to confirm the paperwork is valid.


Special Case: Certificates

Certificates include an additional option: Re-assign.

  • Use this if the submission is incorrect or invalid.

  • The certificate will roll back to the Assigned status until the person provides updated details.

    The person will be notified that they need to provide new details.


What happens next

  • If verified – The status changes to Processed, and the item is now active in Worknice.

  • If rejected (certificates only) – The certificate will roll back to the Assigned status until the person provides updated details.

  • If rejected (all other paperwork) - reassign the item of paperwork to the user


You're All Done!

You can now verify paperwork to keep your organisation compliant and records accurate.
