Configuring dynamic field types

Dynamic document templates allow paperwork to be customised for specific use cases. By configuring fields, you can collect the right data, ensure accuracy, and personalise documents for employees.

This article outlines all available field types, their features, and configurations.


Getting Started

  1. Go to your Template directory.

  2. Open a dynamic document template.

  3. Click the cog icon next to a field to configure it.

Only Account Owners can create or configure dynamic document templates.

You must have a correctly prepared PDF template uploaded to Worknice before configuring fields.

Key Notes

  • The Assigner – the Worknice Account Owner creating the document.

  • The Submitter – the employee filling in the document.

  • Formatting – font, size, alignment, and colours are set in your PDF editor, not Worknice.

  • Each field type has its own configurations (e.g., required/optional, prefix/suffix, description).


Field Types

Smart Field

Automatically pulls data from a person’s profile in Worknice.
Use cases: full name, start date, employee code.

Available fields include:

Date of birth, display name, given name, family name, employee code, addresses, phone numbers, emails, start/end dates, tenure, location.

Features:

  • Dynamic data retrieval

  • Validation with manual override

  • Multi-field connection (updates all linked fields)

Configurations:

  • Required or optional

  • Field description

  • Prefix and suffix

💡 Example:

  • Prefix: “Dear” + Field: “Mary” + Suffix: “,” → Dear Mary,


Single-Line Text Field

Allows manual input of a single line of text.
Use cases: name, email, location, role, start date.

Features:

  • Accepts text, numbers, dates

  • Multi-field connection

Configurations:

  • Required or optional

  • Placeholder text

  • Responder select (assigner or submitter)

  • Description

  • Prefix

  • Suffix

Multi-Line Text Field

Allows input of multiple lines of text.
Use cases: clauses, addresses, notes.

Features:

  • Accepts text, numbers, dates

  • Multi-field connection

Configurations:

  • Required or optional

  • Placeholder text

  • Responder select

  • Description


Date Field

Interactive date picker or manual entry.
Use cases: contract date, job start date, effective date of change.

Features:

  • Accepts manual or picker input

  • Auto-selects current date by default

  • Multi-field connection

Configurations:

  • Required or optional

  • Placeholder text

  • Responder select

  • Description


E-Signature Field

Allows electronic signing of documents.
Use cases: contracts, deeds, acknowledgements.

Features:

  • Draw signature with mouse, stylus, or touchscreen

  • Multi-field connection

Configurations:

  • Required or optional


Choice Field

Predefined dropdown for selecting one option.
Use cases: work location, award classification.

Features:

  • Predefined options for accuracy and consistency

  • Enter predefined options
